Draft minutes of the 2004-2008 SPA Delegates meeting
Abu Dhabi, 27th November 2005

1. Completion and adoption of the agenda
Didier Grange (DG) introduced the order of the day and the steering committee. He then asked delegates to introduce themselves.
 
2.        Adoption of the minutes of the 2004 Delegates meeting
The minutes are adopted as presented.
 
 
3      Improving the Dissemination of Information
 
3.1 Directory of associations
 
During the Girona meeting the committee felt that information wasn’t being circulated adequately between SPA and associations. We are now completing work begun by the previous SPA committee. We are also gathering a directory of all associations and not just members of SPA throughout the world. We have gathered details of 230 associations, 60 of which are members of ICA. The list is now hosted in Canada, thanks to Gilles Lesage and we plan to link to it from our web site. Keeping the list up to date will be challenging but it is hoped that we will be able to do this. It is useful list to compile as it helps us to see gaps in the associations. Our aim is also to promote SPA to them.
               
3.2                 Promotion of SPA
 
DG discussed the SPA brochure which was produced by ARMA. This was widely circulated again thanks to ARMA.  DG reported that we have 2 new members of the SPA, Burkina Faso and Brazil but that Slovenia has left. It was noted that there is considerable growth potential in recruiting new members.
 
                We need to attend annual assemblies within our associations in order to promote SPA. DG tries to attend these and represent SPA internationally.
 
                HZ commented that he has had contact with colleagues in other countries discussing what the ICA is doing??
 
                The SPA SC is now preparing a new promotional text which is being done by our Mexican and Catalan colleagues. We aim to have this ready by the Spring conference in Warsaw, 2006. We plan to have a paper as well as an on-line version.
 
3.3           SPA Webpages
               
Patricia Sleeman(PS) circulated updates, explained that the delay in getting them online has been de to the departure of the web editor at ICA. PS suggested that we introduce a WiKi once the web pages have been updated. PS aims to set the web site updated by Christmas 2005.
 
3.3                 Dissemination of Information
DG thanked those associations who sent a summary of their activities. We plan to post this information on the SPA website. These reports will help us take the pulse of international activity. DG emphasized that proposals for projects from the associations are very important.
 
4                      Projects
4.1     Deontology
 
A professional ethics working group has been set up with Margaret Turner (former president of SPA), Karen Benedict, and Yvonne Bos-Rop. The group is due to start work soon. It is interested in providing more translations of the code of ethics and DG stated that if associations would like a translation of the code in their language to volunteer. It is on the web site. Side note: TP was asked by ACA to write a brief report of the Abu Dhabi meeting for the next ACA newsletter.
 
4.2     Archival Solidarity
 
Trudy Peterson (TP) reported that the chair of this working group, Nancy Morelli had sent a report. This working group was set up in 2000. TP is the liaison between the SPA and the working group. The first stage was in Vienna conference. There are presently seven members. DG wrote to associations asking for interested parties to put their names forward. There is a database of projects set up and is hosted at Concordia University. The working group would like their own website and would like to develop a registry of much needed resources. Thomas Connors requested a copy of report.
